21 time-saving tips for busy nonprofit professionals

One of the most common questions that I am asked is, “Dude, how do you manage to find time to write a regular blog post each week, while being a full-time ED, while also maintaining a family that includes a two-year-old, while also coordinating the underground Nonprofit Fight Club?”

Oh wait…uh, forget the last part. There is no underground Nonprofit Fight Club. Not at all.

As nonprofit warriors, most of us are strapped for time. Many of us have work that does not end when the day ends. Like artists working on a painting, there is always something else that we can improve, another donor to call, another report to read, another board member to email, another grant rejection notice to weep softly over as Boys II Men plays gently in the background (“Let’s don’t wait till the water runs dry…” It’s like they know us and our pain.)

Sometimes, when I hear my business friends complain about their 9-to-5, I just want to grab them by the collars of their shirts and yell, “You exquisite fool! I would trade my soul for a 9-to-5! Look at these empty, haunted eyes! These are the eyes of an exempt nonprofit staff! Is this what you want?!” Then I would slap them once or twice to drive the point home.

Anyway, since time is of the essence, I asked the Nonprofit With Balls Facebook Community for creative tips on how to save time during our day so that we can use even more minutes to make the world better. Or else go home before our partners break up with us and our children forget our faces. “Dancing with Program Officers” and 5 other nonprofit-themed reality TV shows we need

audience-868074_960_720So many of the challenges the nonprofit sector faces exist because of our poor portrayal in the media. This is why I think we should lobby for more shows that highlight the exciting and complex work all of us in the field are doing. A while ago I wrote about “Nonprofit and Afraid,” a show where people who have little experience with nonprofits are put to work at a nonprofit for six weeks. Here are some other ideas I’ve thought of, and sneak previews of what they might look like:

Dancing with Program Officers:

12 nonprofit staff are paired with 12 program officers of local foundations to learn various funding dances, including the “Should I call them first or should I just send in the LOI?” and “Who should pay for lunch?”

Emcee: On the floor now are Alan and Marjorie. Alan, the DD of Think of the Children, has been having trouble rehearsing for the Site Visit Dance, a nerve-wracking number with feints and swirls. Marjorie, his partner and program officer at the Swifter Foundation, has been supportive in her coaching. Let’s see how they fare tonight:

Alan: Thanks for coming down to see our program in action, Margaret. I’m sorry, I mean Marjorie…

Marjorie: No problem, people get that wrong all the time. I should just change it, ha ha.

Emcee: An understandable stumble, given his nerves, and a graceful recovery, but our panel of judges does not look happy.

Alan: This year, we served 390 kids, 85% free-and-reduced-lunch, through four programs…

Marjorie: That’s wonderful. What are some of the results you’ve seen?

Emcee: The Site Visit Dance is a tricky dance, since it combines both technicality and heart. Alan is relying too much on technique. He needs to bring more heart, more stories. 12 types of people who get on everyone’s nerves in nonprofit

cake-916253_640pdHi everyone, this Thursday (3/12) is my birthday, and I’m going to use it as an opportunity to shamelessly promote my organization, Rainier Valley Corps, which is trying to bring more leaders of color into the sector while supporting existing leaders. We are a nine-month-old start-up nonprofit that takes nothing for granted; we wept with joy upon finding a working dry-erase marker last week, and I’ve been sneaking into conferences to stock up on pens. Also, because it’s my birthday this week, I am going to take a break from serious topics like equity or capacity building or performance reviews, and instead start an annual tradition of poorly-edited ranting about people in the sector who get on everyone’s nerves. Why we should rethink Accountability as an organizational and societal value

white-tailed-eagle-416795_960_720Every once a while we nonprofits have a retreat to select or reevaluate organizational values. Invariably during the brainstorming, someone will scream out “Accountability!” and feel very proud for thinking up such an awesome value, and others will nod their heads in agreement. Accountability has become as American as organic gluten-free non-GMO apple pie. Which is why politicians use it all the time. If I ever decided to run for public office, my speech will probably go something like this: “Middle class! Small businesses! Patriotism! Accountability! America! Bald Eagle! Accountability! Vote for me!”

But every time I hear it, it grates on my nerves. Sure, at first it sounds great. I mean, who doesn’t like it when people do what they say they’re going to do and take the consequences for their mistakes and failures. But as we look closer, Accountability sucks as a value, and society’s focus on it has led to more bad than good. Ten resolutions for the nonprofit sector for 2015

australia-699228_640pdEvery New Year, many of us make resolutions to do things to improve ourselves. Of course, many of us skip doing this, because we are perfect. In fact, in some cultures, beer bellies and love handles are considered attractive, so if people have issues with them, then they’re obviously culturally incompetent and should attend a workshop.

As 2015 starts, it is important for us not to just make resolutions for ourselves, but also for our organizations, and for our field. We, as individuals and as a sector, are constantly busy doing stuff that we often don’t take enough time to gaze into the distance and think strategically. As I write this, I recall some profound words from one of my mentors when we were having lunch a while ago: “I always choose the curried chicken.” Wait, no, that’s not it. She said, “Are you spending enough time on the balcony versus the dance floor?” We are always dancing. We nonprofit professionals need to get on the balcony more often.
